Job duties: My most important duty is to make and confirm all vehicle requests in a timely and professional manner. Also, it’s my responsibility to screen all the vehicle requests to make sure that each request is official state business, having to deny those that I find are not. Not only do I take daily reservation requests, which involves making sure that the vehicles are cleaned, fueled and ready for departure, I then prepare the vehicle packets for the customers, check in all returns from the previous day’s business, as well as complete daily inspection on all returned vehicles and schedule any maintenance for mechanical defects when required with the maintenance shop allowing minimal downtime.
I also collect the data on all new vehicles, order license plates and coordinate the annual re-registration for all official vehicles at KU.
I file the damage claims, as well as the appropriate insurance company reports for both the rental pool and for FO vehicles.
How many vehicles does KU have in its Motor Pool fleet? 24.
What is the farthest a Motor Pool vehicle has been taken from KU? Our fleet vehicles are usually limited to the continental United States.
What is the most unusual request for a vehicle you have received? One time, a person reserved a vehicle, stopped to pick it up and then came into my office to ask me how to start the vehicle and then proceeded to ask how to use the gear shift. I was leery, but the vehicle was returned without a scrape.
What do you enjoy most about your profession? The public relations and customer interaction.
I enjoy meeting and interacting with faculty and state employees, as well as seeing folks that I haven’t seen in some time.
What are some aspects of your job others might not realize you’re involved with? A lot of my job involves going in and out of my office on a frequent and daily basis, inspecting vehicles, scheduling with maintenance, etc. I can’t always answer every phone call that arrives, but I surely do my best to get those calls returned in a timely fashion.
State employees other than KU faculty and staff can rent vehicles from Motor Pool. Are these types of request made often? No. Although a few that I’ve encountered in the past have been requests from Topeka, KU Medical Center and even other state institutions, although they are extremely rare.
